How does Live keep every shift on record?

Every action on the till is tied to a person, and managers decide who sees what.

  • Every staff member signs in with a personal PIN, and each order, discount and void is recorded against them
  • Three wrong PINs lock the terminal for 60 seconds
  • The terminal returns to the PIN screen after every paid order
  • Three access levels: Owner, Manager and Staff
  • Reserved for managers and owners: the dashboard, sales history, till sessions, tips, members, drivers, categories, roster and payroll
  • Every void needs a reason, paid orders stay locked, and each void can email the owner
  • Discounts are logged with the staff member and order, and listed in the Discounts export
  • The E-journal and Exceptions exports give a line-by-line record of orders and voids

What do I see at the end of the night?

Each shift from float to close, every payment, and 20 CSV exports for your bookkeeper.

Sales

Sales history for any date range. Search by order, table or staff, open an order to see its lines, payments and total, reprint the customer or merchant slip, and refund an order with a reason.

Payments

Every payment for any date range, by cash, card or delivery platform, searchable by order and ready to export.

Petty cash

Every movement in and out of the drawer, with category, description, staff member and receipt photo, and the net for the range.

Stock purchases

Every delivery booked at the till, with supplier, lines, delivery fee and the supplier invoice photo.

Discounts

Create named discounts as a percentage or an amount, link one to a member tier, and see every discount given with order, staff member and reason.

Choose a date range and download any of the 20 CSV exports listed below.

Till sessions

Each shift from float to close: expected and counted cash, card settled, cash and card variance, orders, petty cash and stock purchases.

  • Open the till with a starting float
  • Run an X-read at any point in the shift
  • Expected cash is worked out for you: opening float plus cash sales plus petty cash in, minus petty cash out
  • At close, count the drawer and enter the EFTPOS settlement total. Live records the cash variance and compares card takings
  • The till closes once every table is settled
  • The Z-read is emailed to the owner with text and CSV attachments

Dashboard

  • Periods: today, yesterday, last 7 days, last 30 days, this week, this month and a projected month
  • Net sales, orders, average order, COGS, gross profit and margin
  • Compared with the previous period: net sales, orders, average order and gross profit
  • Tax, service charge and discounts, plus voids by count and value
  • Takings by day or by hour, payment mix, top products and top categories
  • Items that still need a cost are flagged, so COGS stays complete

People

Who’s working, who’s a member, who brought them in?

Staff, members and drivers each have their own module in the back office.

Staff

Each staff member with full name, position, access level (Owner, Manager or Staff), personal PIN and active status. Rosters, timesheets and tips have their own page.

Rostering and timesheets

Members

Your own tiers, automatic tier rules and tier discounts, with each member’s spend, orders and last visit.

Membership

Drivers

Link an order to the driver who brought the guests in, by name or barcode, and see each driver’s covers, customer spend and last drop.

Staff, rosters and members are included in Standard and Multi-venue. Tips and drivers are included in Multi-venue.

Catalogue

How does stock keep up?

Every sale deducts stock by recipe, and deliveries and stocktakes keep it accurate.

Inventory

Stock items in ml, grams or pieces, with pack volume, pack cost, supplier, reorder point and current stock. Low-stock items are flagged.

Categories

Each category marked Bar or Kitchen, set active or inactive, and coded to its Xero account.

Products

Sale price, category and tax, a recipe of stock ingredients with cost and margin, drink specs for prep, glass and ice, and linked modifier groups.

Modifiers

Modifier groups with minimum and maximum picks, and options with a price extra, tax and a stock pour quantity, linked to the products they apply to.

Stock that keeps up

  • Every sale deducts stock by recipe, and options can use stock too
  • Each stock purchase updates stock on hand and the latest pack cost, and can be paid from petty cash
  • Stocktakes update stock on hand and email the counted, variance and matched items
  • A low-stock email after each Z-read, based on reorder points

Venue

How is my venue set up?

Your details, receipts, tax and owner alerts live in the Venue menu. The floor plan has its own page.

Settings

Venue details, receipt and bill-check layout, tax and service charge, Xero account codes, petty cash categories, happy hour and owner email alerts.

Areas

Name the areas of your venue, such as the bar, dining room or deck, and switch each one on or off.

Receipts and tax

  • Receipts show your venue name, address, phone, website and tax number, a line under the address, your own closing line and, if you choose, the member’s name
  • Bill checks carry their own title and line
  • Set the tax name and rate, the service charge percentage, and whether tax applies to the service charge
